How Do I Assign Virtual Credentials to Active CEAS Credential Holders?
Only one (1) CEAS Credential may be held at a time. Assigning a Virtual Card to a CEAS credential holder will automatically deactivate any previously issued credentials (physical or virtual). Virtual Credentials are now distributed either through an invitation to the CEAS Mobile ID App or as an email with a (PNG) attachment.
- In your credential management screen, under “Tools,” click “Convert Card Types.”
- On the following screen, choose the “Standard Cards” radio button in the “Change From” column (left), then click Virtual Credential in the “Change To” column (right). Click “Next” to view a list of potential cardholders to convert to Virtual.
Note: Physical (plastic) CEAS Cards not assigned to a specific individual (i.e., Flex Cards and Insurance Adjuster Cards) cannot be converted to Virtual and will not appear on this list.
- Identify the cardholders you would like to convert to Virtual by checking the corresponding boxes, then click “Convert.”
- The “Conversion Results” will be displayed. Click “Return to Card Management.”
- In the Card Management screen, under “Select Cardholders to Receive Virtual Credentials,” check the boxes for employees to receive virtual credentials and click “Next” to set the credentials’ expiration date.
Note: If no checkbox appears next to an assignee’s name, some end-user requirements are incomplete (such as a missing email address or uncompleted Program Orientation).
To update missing details, click the Cardholder's name to add the information.
- Before sending a Virtual Credential Invitation, set an expiration date for the selected recipients. The default expiration is 365 days or your subscription expiration date. (For more information, refer to “Setting Virtual Credential Expiration Date” in the FAQs.)
- Click “Send” to complete sending the invitations.
Note: All employees you select in step #4 will have their credentials expire on the same date that you specified in the next step. To assign different expiration dates, process those employees separately and set the desired expiration dates accordingly.
- After clicking Send, you will be taken to the Distribution Summary screen to review all recipients who received an email invitation to receive Virtual Credentials.
